Steps in the selling process.
A clear, stage-by-stage outline of what happens between accepting an offer and receiving your settlement proceeds.
Selling? Talk to us before you list.
Many sellers contact a settlement agent only after the contract is signed. Speaking with us earlier — ideally before listing — gives us time to flag title issues, identify discharge timing, and quote an accurate fee. It costs nothing, and it often saves weeks.
From offer accepted to keys handed over.
First steps
Once you've decided to sell, contact us before listing or accepting an offer. We'll explain the process, likely timeframes, the documents you'll need, and the costs involved — including our fee and an estimate of disbursements.
- Initial conversation and quote
- Identification and ownership verification
- Discussion of settlement timing
When we receive the contract
When your real estate agent forwards the signed contract, we review it for special conditions, finance dates, and any unusual clauses. We then open your file and confirm receipt to you and your agent.
- Contract review
- Special conditions check
- File opened and parties notified
During the waiting period
We request the title, certificate of encumbrances and any required council, water and strata figures. We calculate adjustments for council rates, water rates and land tax, and prepare the settlement statement for your approval.
- Title and encumbrance search
- Rate adjustments calculated
- Settlement statement prepared
Releasing or discharging a mortgage
If your property is mortgaged, we'll coordinate with your lender to arrange the discharge. The bank will provide a discharge figure, which we'll factor into your settlement statement.
- Lender contacted for payout figure
- Discharge of mortgage arranged
- Final figures reconciled
Settlement day
We attend settlement on your behalf (in person or electronically via PEXA). Title transfers to the buyer, the bank is paid out, and the net proceeds are transferred to your account. We confirm the result with you and your agent the same day.
- Settlement attended
- Title transferred and mortgage discharged
- Net proceeds deposited to your account
After settlement
We notify the relevant authorities — council, water, strata manager — of the change in ownership. Your real estate agent is authorised to release keys to the purchaser. We retain your file securely for the period required by law.
- Authorities notified of ownership change
